Terms and Conditions
1. Introduction
Welcome to UKPackExpo, an event organised by Prime Events Group LTD, trading under UKPackExpo, with a registered office at 4th Floor, 205 Regent Street, W1B 4HB, Company Number: 15898348. By participating in our event, exhibitors and visitors agree to comply with the following terms and conditions.
2. Definitions
- Organiser: Prime Events Group LTD, trading as UKPackExpo.
- Exhibitor: Any company or individual who books a stand at UKPackExpo.
- Visitor: Any person attending UKPackExpo.
- Event: UKPackExpo, held at Manchester Central, Hall 1, on 3rd & 4th September 2024.
3. Booking and Payment
- Exhibitors must complete the booking form to secure their space at UKPackExpo.
- Following the submission of the booking form, the organiser will issue an invoice for the total amount due.
- Full payment is required within 14 days of the invoice date. Failure to pay within this timeframe may result in the forfeiture of the booking.
- If the booking is made less than 14 days before the event, payment is required immediately upon receipt of the invoice.
4. Cancellation and Refunds
- Exhibitors may cancel their booking by providing written notice to the organiser.
- Cancellations made more than 6 months before the event will incur a 50% cancellation fee.
- Cancellations made less than 6 months before the event will incur a 100% cancellation fee.
- No refunds will be issued for no-shows.
5. Exhibitor Responsibilities
- Exhibitors are responsible for the setup and breakdown of their stands within the allocated timeframes.
- Exhibitors must ensure their stands comply with health and safety regulations as outlined in the exhibitor manual provided by the organiser.
- All exhibits must be confined to the allocated stand space and not cause obstructions.
- Exhibitors must have public liability insurance with a minimum coverage of £2 million.
6. Event Management
- The organiser reserves the right to alter the layout, location, or timing of the event if necessary.
- The organiser reserves the right to reschedule or move the event for any reason, including but not limited to logistical, operational, or strategic considerations. In such cases, no refunds will be issued, and the exhibitor's booking will be transferred to the new date or location.
- The organiser is not liable for any loss or damage to exhibitor property during the event.
- Exhibitors must have appropriate insurance coverage, including public liability insurance of at least £2 million.
- 7. Photography and Media
- By participating in UKPackExpo, exhibitors and visitors grant the organiser the right to take photographs and video recordings of the event, including images of stands, products, and attendees.
- The organiser reserves the right to use these photographs and videos for promotional purposes, including but not limited to social media, marketing materials, and future event promotions, without any obligation to compensate the subjects of the photographs or videos.
8. Data Protection
- By participating in UKPackExpo, exhibitors and visitors consent to the collection, storage, and use of their personal data in accordance with the organiser’s privacy policy.
- Personal data may be used for the purpose of organising and promoting the event, including sending updates and information about future events.
- Exhibitors and visitors have the right to access, correct, or request the deletion of their personal data at any time by contacting info@ukpackexpo.co.uk.
- Data will not be shared with third parties without the explicit consent of the individual, except as required by law.
9. Force Majeure
The organiser is not liable for any cancellation, delay, or alteration of the event due to circumstances beyond their control, including but not limited to natural disasters, strikes, or government regulations.
10. Pandemic/Epidemic Clause
In the event of a pandemic, epidemic, or other public health emergency, the organiser reserves the right to reschedule the event or move it to a virtual format. No refunds will be issued, and the exhibitor's booking will be transferred to the new date or format.
11. Health and Safety Compliance
Exhibitors are required to comply with all health and safety regulations as outlined in the exhibitor manual provided by the organiser. Failure to comply may result in the termination of the exhibitor’s participation without refund.
12. Young Persons Attendance
- Individuals under the age of 16 must have written consent from a parent or legal guardian and provide contact information for the responsible adult.
- A written request for attendance must be submitted to the organiser at least 14 days before the event.
- The organiser reserves the right to refuse entry to any young person who does not meet these requirements.
13. Limitation of Liability
- The organiser’s liability to exhibitors and visitors is limited to the amount paid for participation in the event.
- The organiser is not liable for any indirect or consequential losses, including loss of profits or business.
- 14. Governing Law
These terms and conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
